If not, how can we provide e-mail services to our Non-profit organizations? Do we treat internal, staff e-mail differently from our clients&#8217; e-mail? How do we communicate with large groups? What mailing list services are there? Do we just give all our e-mail to Google and Microsoft? Maybe we can use the e-mail from our ISPs? They advertise &#8220;unlimited mailboxes&#8221;, right? Do we run our own e-mail servers? But then, how do we deal with spam, blocklists, and e-mail providers that don&#8217;t play fair? And, is it &#8220;E-mail&#8221; or &#8220;Email&#8221;?<\/p>\n<p>KWNPSA is in the process of setting up our own e-mailing lists, and we have plenty of e-mail system administrators in the group. Looking forward to a lively Round Table discussion!<\/p>\n<p>&#8211;Bob Jonkman &amp; Marc Par\u00e9<\/p>\n<p><span style=\"text-decoration: underline;\">Meeting Notes<\/span><\/p>\n<p><span id=\"Alternatives_to_E-mail\" class=\"mw-headline\">Alternatives to E-mail<\/span><\/p>\n<ul>\n<li>Aren&#8217;t we all on <a class=\"external text\" href=\"https:\/\/slack.com\/\" rel=\"nofollow\">Slack<\/a> by now?\n<ul>\n<li>Slack has some free options, also paid ones<\/li>\n<li>eg. voice and video options<\/li>\n<li>E-mail threads have messages and reply text, but slack has just the continuous stream-of-consciousness<\/li>\n<li>Bots: &#8220;What&#8217;s my schedule on Thursday?&#8221;, &#8220;Bot, book me lunch with Kirk on Tuesday&#8221;\n<ul>\n<li>Regular expression bots, &#8220;human in the loop&#8221; bots, and &#8220;IBM Watson&#8221; hyperintelligent bots<\/li>\n<li>Bots really made it, turned Slack into a marketable product (opened the platform, API)<\/li>\n<\/ul>\n<\/li>\n<li>But whatever happened to Google Wave and Google Buzz?<\/li>\n<li>Is there a Slack-to-Email bridge? Maybe on Rocket.Chat\n<ul>\n<li>Privacy and datamanagment concerns: who stores your chats? streams? e-mail?<\/li>\n<\/ul>\n<\/li>\n<li>Spammers on Slack? It&#8217;s a closed environment, you know your spammer (unlike e-mail)<\/li>\n<li>But there can be public &#8220;Talk to a sales rep&#8221; windows<\/li>\n<\/ul>\n<\/li>\n<li><a class=\"external text\" href=\"https:\/\/www.kik.com\/\" rel=\"nofollow\">Kik<\/a> also opened their platform<\/li>\n<li><a class=\"external text\" href=\"https:\/\/rocket.chat\/\" rel=\"nofollow\">Rocket.Chat<\/a> &#8211; &#8220;Slack-alike&#8221;\n<ul>\n<li>web client &amp; phone apps<\/li>\n<li>e-mail gateway, LDAP gateway<\/li>\n<li>Drag&#8217;n&#8217;drop filesharing<\/li>\n<li>Self-hosted, on Ubuntu as a Snap<\/li>\n<li>Self-hosted, so you have control over your own data<\/li>\n<li><a class=\"external text\" href=\"https:\/\/kwvoip.ca\" rel=\"nofollow\">kwvoip.ca<\/a> may set this up&#8230;<\/li>\n<\/ul>\n<\/li>\n<li>XMPP &#8211; Cisco bought Jabber.com (now <a class=\"external text\" href=\"http:\/\/www.cisco.com\/c\/en\/us\/products\/unified-communications\/jabber\/index.html\" rel=\"nofollow\">Cisco Jabber<\/a>)<\/li>\n<li><a class=\"external text\" href=\"https:\/\/matrix.org\/\" rel=\"nofollow\">Matrix<\/a> \/ <a class=\"external text\" href=\"https:\/\/about.riot.im\/\" rel=\"nofollow\">Riot<\/a><\/li>\n<\/ul>\n<h4><span id=\"Ease-of-Use\" class=\"mw-headline\">Ease-of-Use<\/span><\/h4>\n<p>E-mail is so easy to use, people use it for everything<\/p>\n<ul>\n<li>File storage<\/li>\n<li>Instant messaging<\/li>\n<li>Archival storage<\/li>\n<li>Operating System?\n<ul>\n<li>Heard of people who use git as a mail repository<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h4><span id=\"Difficulty-of-Admin\" class=\"mw-headline\">Difficulty-of-Admin<\/span><\/h4>\n<ul>\n<li>Struggle with Exchange and Outlook\n<ul>\n<li>Weird problems, eg. indexes<\/li>\n<li>Would weird problems like indexing exist on Office365?<\/li>\n<\/ul>\n<\/li>\n<li>Large systems are constrained only by the time and effort of the SysAdmin\n<ul>\n<li>Or sufficient funds to purchase vendor support<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h4><span id=\"Spam_Mitigation\" class=\"mw-headline\">Spam Mitigation<\/span><\/h4>\n<ul>\n<li>Large mail providers silently drop some mail, receivers and senders have no idea it&#8217;s not delivered<\/li>\n<li>Need to bring mail filtering inhouse\n<ul>\n<li>Opinion that the only effective filters are Bayesian filters on content, not geo-blocks, IP-blocks, or domainname-blocks<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li><a class=\"external text\" href=\"https:\/\/tools.ietf.org\/html\/rfc7489\" rel=\"nofollow\">DMARC<\/a> and <a class=\"external text\" href=\"https:\/\/tools.ietf.org\/html\/rfc6376\" rel=\"nofollow\">DKIM<\/a> (both broken for mailing list use)<\/li>\n<\/ul>\n<ul>\n<li>Dealing with blocklists\n<ul>\n<li>Blocklists are reputation managers<\/li>\n<li>Small orgs sending mail are incorrectly identified as spammers<\/li>\n<li>Blocklist providers have no incentive to lift blocks based on the requests of senders (otherwise every spammer would make that request)<\/li>\n<li>Recipients of failed messages need to contact their mail providers to stop the mail providers from subscribing to bad blocklists<\/li>\n<li>Filter provider needs to hold the spam for subsequent retraining (problems with privacy and data control)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>Organizations block access to external mail providers\n<ul>\n<li>(block ports for SMTP:25, MSP:587, IMAP:143, &amp;c.)<\/li>\n<li>Must use smarthosts on ISPs<\/li>\n<li>Web clients to read\/send e-mail from external providers\n<ul>\n<li><a class=\"external text\" href=\"https:\/\/www.horde.org\/apps\/webmail\" rel=\"nofollow\">Horde<\/a><\/li>\n<li><a class=\"external text\" href=\"https:\/\/squirrelmail.org\/\" rel=\"nofollow\">Squirrel Mail<\/a><\/li>\n<li><a class=\"external text\" href=\"https:\/\/roundcube.net\/\" rel=\"nofollow\">RoundCube<\/a><\/li>\n<li><a class=\"external text\" href=\"https:\/\/apps.nextcloud.com\/apps\/mail\" rel=\"nofollow\">Nextcloud mail app<\/a> (based on Horde)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>New legislation for mass-mail (starting 1 July 2017?)\n<ul>\n<li><a class=\"external text\" href=\"http:\/\/fightspam.gc.ca\/eic\/site\/030.nsf\/eng\/home\" rel=\"nofollow\">Canada&#8217;s Law on Spam and Other Electronic Threats &#8211; Home &#8211; Canada&#8217;s Anti-Spam Legislation<\/a><\/li>\n<li>Mailing lists? OK for non-commercial organizations that don&#8217;t sell or solicit funds.<\/li>\n<li>Fundraising?
